How, Where, and When Do I Ship My Materials?
- Shipments accepted between May 20 - June 6, 2025.
- Shipments received after June 6 are subject to a surcharge.

- The Hilton Baltimore will not accept any direct shipments. To ensure your shipments arrive they must be personally carried in by exhibitors during exhibitor move-in hours or sent to the advance warehouse.
- Anything shipped to the Hilton Baltimore will be the sole responsibility of the exhibitor as hotel facilities do not have storage capacity for items sent directly to the hotel and may refuse delivery.
- All items/materials brought into the facility may be subject to Material Handling charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors.
- All freight will be loaded through a freight elevator. Crates, etc. must be able to fit through an opening 9’10”w x 7’5”h, with a maximum load of 5,500. Lbs.

Material handling (drayage) is the service of receiving freight at either the advance warehouse or show site. This service includes the following:
- Acceptance of freight shipped to the advance warehouse.
- Storage of up to 30 days prior to move-in
- Delivery of freight to show site OR acceptance of freight delivered directly to show site
- Delivery of freight from dock to booth
- Pick up and storage of “empty” crates/boxes for duration of show
- Delivery of “empties” from storage back to booth for move-out
- Freight transferred from booth to dock for return shipment
- Loading of crates/boxes onto outgoing carrier
Will you be bringing your booth materials in a POV (Privately Owned Vehicle)? All exhibitors planning to transport their own materials to/from the conference MUST move all items into the exhibit hall during move-in hours on Thursday, June 12. No exceptions. See full POV Details and Form.
General Notes
- To facilitate an orderly and timely move-out, it is imperative that all aisles remain clear of exhibit material so that empty containers can be returned. All freight free aisles must be kept clear during move-out.
- Any exhibitor requiring forklifts, display labor, or other special handling of exhibit material should make arrangements at the Service Center BEFORE the close of the show.
Outdoor & POV Move-Out
- The street outside the exhibit hall will not be open until 1:00 PM
- Booth dismantling may begin at 1:00 PM.
Shipping with The Expo Group
- The Expo Group will begin returning cartons, plastics cases, wood crates and other material sent to empty storage around 1:15 PM. Please note this process may take a while.
- After your materials are packed, labeled and ready to go; return a 'completed' Material Handling Agreement to the service desk.
- Do not leave your The Expo Group’s Outbound Material Handling Agreement with your equipment at your booth. If you leave the Material Handling Agreement in your booth with your freight, we will not know that your freight is ready to be loaded out.
- You can also submit online to The Expo Group without going to the service desk.
- Please Note: Due to limited dock space and no storage areas, all outbound shipments are required to either be hand carried to the Hilton Baltimore business office or shipped out via the show carrier, ABF Freight. Outside carriers will not be permitted to pick up freight at the dock after the show.
Shipments not through The Expo Group
- The Business Center at the Hilton is permanently closed. You will have to hand carry packages out of the hotel.
