Frequently Asked Questions

What's the deadline to register for the conference?
There is not a deadline to register for the conference; however, registration rates do increase. Additionally, some classes that require a pre-registration, may fill up. To ensure your seat, register before the conference begins. You may register online for the conference through June 14th.

Do I have to register in advance?
No, onsite registration for attendees will be available starting on Tuesday, June 10 at 3 PM, however, we highly encourage you to register in advance.

Can I register to attend just one day and visit the Exhibit Hall?
One day registrations are available for Friday and Saturday. Details can be found on the Registration page.

What does my registration fee include?
Full conference registrations include 4 days of conference education, access to the exhibit hall, networking reception, lunch on Friday & Saturday, and breakfast on Sunday. Preconference classes are available on Wednesday for an additional fee.

Will I receive confirmation of my registration?
Confirmations are sent via email for all registrations. If you did not receive yours, please check your spam folders. If you cannot locate your confirmation, please email Registration Customer Support.

Will I be refunded if I have to cancel my registration?

Can I transfer my registration to another member of my department/staff?
Yes, registration may be transferred to another person in your organization by written request to the IAFC prior to Tuesday, May 28. After this date, all changes must be made onsite. Contact Registration Customer Support to transfer your registration. 

I transferred my registration from Hazmat 2024 to Hazmat 2025, what do I do now?
Once registration is open, emails will be sent to all participants who transferred their registration. If you do not receive it, the email could have gotten caught in spam filters. Please email conferences@iafc.org and we will resend the information to you.
What hotels have been reserved? What are the rates?

When can I make my hotel reservations?
Hazmat hotel reservations open in conjunction with registration each year. Hotel information will be provided in your Hazmat registration confirmation email. Do not call the hotel directly to make reservations as you will not receive the group rate. Hotel information can be found on the hotel page

I've been contacted by a company trying to get me to book hotel rooms - is this legitimate?
The IAFC Hazmat Conference hotel web page is the only way to access the official Hazmat housing discount. Unaffiliated companies may pose as an official housing vendor for Hazmat and may contact you offering housing for your trip. They are not endorsed by or affiliated with the IAFC or Hazmat and entering into financial agreements with such companies can have costly consequences.

A hotel poacher/pirate is any unaffiliated hotel or third-party housing company that presents itself as an official housing company and solicits business from Hazmat participants. When individuals book hotel accommodations through poachers or pirates, the consequences can be costly; event participants may be left without hotel rooms when they arrive at the event and incur fraudulent charges on their credit cards.
I am a presenter for the conference - where can I go to find information?
Presenters will use their custom Presenter Portal to find the latest information and details surrounding their sessions. Any questions can be directed to conferences@iafc.org.

Will I receive credit for the sessions I attended?
The IAFC will provide a certificate of attendance post-conference after completing your conference evaluation.

Where can I find session information?
Session information will be published on the Education page. Additional education will be added as it becomes available.

Do I need to register for specific sessions?
All Wednesday preconference sessions require an additional registration and fees apply. All sessions Thursday through Sunday are included in your full conference registration, though some workshops on Thursday have capacity limits and may require an advanced sign up. You can create an account on the Hazmat website to favorite (Star Symbol) sessions, presenters, fellow attendees, and events as well as build your own agenda. This account creation will also give you access to the conference mobile app when it launches in early May.
What are the booth rules for Hazmat?
Please view the Booth Rules and Regulations for information on booth height regulations, what is considered a booth violation, booth backwall height allowance, banners, balloons, smoke/fog machines and information on many other items and what is and is not allowed.

What is included with my booth space?
Each exhibiting company will receive (3) exhibitor registrations with a 10x10 booth, you receive 2 additional exhibitor badges for each additional 100 SF. Your booth will include (1) 6' black draped table; (2) side chairs; (1) wastebasket; pipe and drape; and (1) company identification sign. The ballroom is carpeted.

How do I register my booth staff?
All exhibit personnel must register to attend. A promo code and registration link will be sent to the main contact. Additional details can be found on the Plan Your Exhibit page.

Where are all of the exhibitor order forms and information located?
All order forms can be found in the Exhibitor Manual. The exhibitor manual will be loaded to the Plan Your Exhibit page when it becomes available.

Is insurance required?
As of January 2023, blanket liability insurance coverage is included as part of your your booth fees.  Exhibitors do not need to submit a certificate of insurance unless they will be utilizing an EAC (Exhibitor Appointed Contractor) in which case, either the exhibitor or the EAC will need to submit a COI for that EAC.

When can I move in to set-up my booth?

Can I carry my booth items/products in myself?
Yes, but they must be able to be carried by hand.

Can I sell my products/service at the show?
You may sell your products and/or services at the event. You will be responsible for any applicable taxes.

When and where is the Hazmat 2025?
Hazmat 2025 is June 12 - 15 in Baltimore, Maryland at the Hilton Baltimore.

Where is the conference next year in 2026?
Hazmat 2026 will be held June 18 - 21 in Baltimore, Maryland.

Is there parking available at the Hilton Baltimore?
The Hilton Baltimore has parking available for a fee. 

Will transportation be provided during the conference?
Transportation will be provided to preconference and workshop sessions identified as off-site.

What are the Exhibit Hall hours?
The Exhibit Hall hours are as follows:
  • Friday, June 13  | 11:00 AM - 6:00 PM
  • Saturday, June 14 | 9:30 AM - 1:00 PM
Does Hazmat have a conference app?
Navigate Hazmat like a pro with the conference mobile app. Go to your device's App Store or Google Play and search for IAFC Events. The Hazmat 2025 app will launch in May.

Will internet be available during the conference?
Hazmat does not have dedicated internet in the meeting rooms. Complimentary internet is available in all guest rooms.
